Camp Roster Tool

Checking your ASU sign-in…

This is the FSE E2 Camp Roster tool to balance groups, dorms, etc. Happy balancing and have a great E2!

Upload the master registration export

The .xls you download from the registration system — every bed for every camp, blanks and all. Nothing is uploaded anywhere; the file is read in this browser and never leaves your machine.

Which camp are you balancing?

Every camp session in the export is listed below. The one with check-in data is usually the one currently running.

Who gets rosters?

Names appear in the header of every page of that person's packet. Leave a name blank to skip that role entirely. Dietary, medical, and emergency contact details go only to the ASA Lead and SSE Lead — every other packet is printed without them.

C2s are detected automatically from the export. Each gets their own dorm, their own color group, and their own ASU 101 school — not the whole set — plus whatever else you tick. Dietary, medical, and emergency contact details never appear on a C2 packet — only ASA and SSE Lead packets carry those.

Transport

Students marked Transport on the Special Requests tab — the ones driving themselves or arriving separately. Untick anyone you do not want counted when the groups are balanced. They still appear on every roster. Dietary and medical requests are not shown here and are never balanced on.

Balance

Two separate jobs. At night, every student must have a C2 of their own gender in their dorm — that comes first, and C2s and campers are moved as needed to achieve it. During the day, color groups are coed; they just need to be roughly even in size and not lopsided by gender. Every bed belongs to a color group, so changing someone's group means moving them to a bed of that color — the two travel together.

How far apart the largest and smallest group may be, as a share of the average group size. 10% is the same as every group sitting within ±5% of the average, and is the default because it matches what the team already treats as acceptable — 44 in one group and 40 in another.

Review before printing

Final counts for every color group, dorm, and ASU 101 school, plus every change you are committing to. Nothing has been printed yet.

Student Assignment Changes

Move someone by hand

Every student, with their color group and bed. Change either and it is made exactly as you set it — nothing is rebalanced and nobody else is moved, even if that puts a room over its beds for that color. Anything worth a second look is flagged below; none of it is blocked.

Print

Each packet is numbered independently, so "Page 1 of N" restarts for every person and a dropped sheet is obvious.
